Appointment Booking Policy

When an appointment is made with Life Vision Counselling, a significant amount of time is kept in reserve for that appointment.  Last minute cancellations, or non-attendance i.e. when a client fails to keep a scheduled appointment without notice (No Show), are inconvenient, costly and affect other clients who would have preferred that appointment time.

Accordingly, patients wishing to cancel or reschedule an appointment must do so no later than 48 hours before the time of the appointment.

What is an appointment holding fee?

Appointment booking fees have been introduced to reduce the number of clients who book and reserve an appointment, then fail to attend the appointment (No Show).  When patients do this, they take up an appointment booking, which then isn't used.  Other patients who are on our waiting list, desperately needing our services, are prevented from being able to obtain the help they need.

Effective from 1st August, 2021, all new patients seeking an appointment must pay an initial deposit of 50% of the total fee for that appointment.  Those appointments are not reserved or secured until the holding fee is paid at the time of making the booking.  All our bookings are now processed through our online booking system.

We do not refund appointment deposit fees when the you cancel appointments with less than 48 hours notice, or if you fail to attend your appointment.

What happens if I need to change my appointment?

All appointments are reserved especially for the patient.

Patients may change the appointment at any time, with a limit of two reschedules (for counselling services only), as long as at least 48 hours prior notice is provided.

  • From 1/8/2021 cancellations with less than 48 hours notice will attract a late cancellation fee being the FULL FEE for counselling patients and hypnotherapy patients.

  • When you are a No Show, ie you do not attend the booked appointment, or fail to provide prior notification of your inability to attend your appointment, the FULL fee for the booked appointment is billed to your account.

  • The Late Cancellation and No Show fee includes any appointment deposit fee which has been paid.

  • From 1st January 2024, when you call us to reschedule an appointment with LESS than 48 hours notice, we require you to pay the fee in FULL for the rescheduled appointment.

Additional Fees:

Unlike other practices, at Life Vision Counselling, we do not bill any surcharges or additional fees for after hours, or weekend appointments.

What happens if my session exceeds one hour?

Any Counselling session which exceeds one hour may be charged pro-rata of the hourly rate.  However, we are very accommodating and structure our fees to suit your family and financial needs.  Please call us to discuss this further.

Refund of Deposits (where applicable) Fees:

Life Vision Counselling will refund deposits where cancellations are made with more than 48 hours notice of a cancellation, however, as from 1/3/23 the fees charged by Square Banking or PayPal for the transaction will NO LONGER be refunded.

Square Banking and PayPal no longer refund these administrative banking fees under any circumstances.

Therefore any applicable refunds to you following a cancellation will be LESS the fees charged to us by Square Banking or PayPal.
